ILX GROUP PLC Course Failure Policy


1. Purpose

This policy outlines ILX Group's approach to learners who do not successfully complete a course, training programme, or examination. The policy aims to ensure fair, transparent, and consistent treatment of all learners while maintaining the integrity and quality of ILX Group's training services.

2. Scope
This policy applies to all learners enrolled on:

  • Accredited certification programmes
  • Instructor-led training courses
  • Virtual classroom courses
  • Self-paced online learning programmes


3. Definition of Course Failure
A learner may be deemed to have failed a course where they:

  • Do not achieve the minimum pass mark in a course assessment or examination.
  • Fail to complete mandatory learning activities.
  • Do not meet attendance requirements.
  • Withdraw from a course without completing required learning outcomes.

4. Attendance Requirements
Learners must attend at least 90% of scheduled training sessions unless an alternative requirement is specified by the awarding body.Failure to meet attendance requirements may result in:

  • Ineligibility to sit the assessment or examination.
  • Requirement to retake missed modules.
  • Deferral to a later course date.


5. Assessment and Examination Failure
Where a learner does not achieve the required pass mark:
First Failure
The learner may:

  • Access additional learning resources.
  • Be offered a resit opportunity subject to additional fees.

Subsequent Failures
Where a learner fails a second attempt:

  • ILX Group will review individual circumstances.
  • Additional tutor support or revision support may be recommended.
  • Further attempts may be subject to additional fees.
  • Awarding body restrictions will apply where relevant.


6. Extenuating Circumstances
ILX Group recognises that exceptional circumstances may affect learner performance.
Examples include:

  • Serious illness
  • Bereavement
  • Significant family emergencies
  • Other circumstances supported by evidence

Learners must notify ILX Group as soon as reasonably practicable and provide appropriate supporting evidence.

Each request will be reviewed on a case-by-case basis.


7. Learner Support
Learners who fail may be offered:

  • Additional tutor support
  • Revision sessions
  • Access to supplementary learning materials
  • Guidance on examination preparation

Support offered will be proportionate to the course being undertaken.


8. Appeals
Learners may appeal a course failure decision where they believe:

  • The assessment or exam was conducted incorrectly.
  • Administrative or technical errors occurred.
  • Extenuating circumstances were not appropriately considered.

Appeals must be submitted in writing within 10 working days of notification of the result.
Appeals will be reviewed by an independent manager who was not involved in the original decision.


9. Refunds
Failure to pass a course, assessment, or examination does not entitle a learner to a refund.
Refund eligibility remains subject to ILX Group's Terms and Conditions.


10. Monitoring and Review
Course completion and pass rates will be monitored as part of ILX Group's quality assurance process to identify trends and opportunities for continuous improvement.
